Privacy Notice

What is this Privacy Notice?

The Deeside District Scout Council operates a strict privacy policy.

The password-protected Members’ Area of this website contains the Deeside District Directory (“Directory”). This Privacy Notice sets out what we do with Personal Data and what you can expect from us as part of our obligations when processing these Personal Data.

What data does this Directory hold?

We may hold Personal Data, including contact details, about adult volunteers in Scouting and their role(s) in Scouting. This Directory does not hold any Sensitive Personal Data such as ethnic background, age or religion.

Why do we collect this information?

Volunteers’ contact information is made available to facilitate communication within Scouting in Deeside District.

How do we gather and maintain data?

Data are taken from the volunteer’s Compass record which is maintained by the Scout Association. However, there is no direct link with Compass. Data are entered by the District Secretary or delegated person when an adult agrees to be added to the Directory. Each adult ("Subject") is given a password and the ability to amend/update their own personal data.

Other inaccuracies or omissions should be communicated to the District Secretary for correction.

When a volunteer leaves Scouting, the District Secretary should be informed so that they can be removed from the database. At this time the Subject no longer has access to the Directory.

Who has access to these data and who do we share it with?

All members listed on the Directory have access to all the information within it. No other individuals have access to the Directory.

Unless legally obliged to do so, we will never pass on your membership details to third parties without your explicit prior consent.

Where will these data be stored?

The data are stored on the Deeside District Scouts website. The Directory is password controlled.

What are your rights to your Personal Data?

As a Data Subject you have rights over your own data that you can exercise at any time, these are:

  • Data are accurate – we must keep your data accurate. Each Subject can amend/edit their own contact data.
  • Data are erased – we must erase data if not needed or requested by you.
  • Consent withdrawal – we must allow you to withdraw consent at any time.

If you wish to contact us to exercise these rights or for any further queries on this Privacy Notice, or to inform us of inaccuracies, please contact secretary@deesidescouts.org.uk.
